We are looking for a proactive and detail-oriented Office Assistant to join our Admin team, providing essential administrative support that keeps our day-to-day operations running smoothly.
As part of our commitment to fostering a collaborative team environment, this role requires working fully on-site.
Tasks & Responsibilities
Reception Management:
Act as the face of the company by ensuring professional reception services
Welcome clients, prospects, and visitors with a friendly and service-oriented attitude
Manage incoming phone calls, ensuring they are answered or transferred professionally
General Administration:
Handle a variety of administrative and organizational tasks
Manage incoming and outgoing mail efficiently
Oversee the organization of office resources, including food, drinks, and supplies
Coordinate bookings for restaurants, lunches, and off-site locations
Assist in planning and organizing employee events
Support Services:
Serve as the first point of contact for external queries via email and contact forms
Handle support inquiries via phone, email, and Intercom, resolving or redirecting them as needed
Maintain and update internal systems and manage data efficiently
You will communicate primarily in English, our corporate language.
Requirements
Student Status: Currently enrolled in a university or higher education institution
Language Skills: Fluent in English (C1); German (C1) is also required
Technical Skills: Confident use of MS Office and digital tools for document management
Strong organizational and communication skills
Keen attention to detail and a proactive, team-oriented mindset
